FAQ's Related to Outsourced Billing
Q - Will I lose any of my billing information by outsourcing?
A - You always have control of your billing information. Your data belongs to you at all times.
Q - Will my patient’s confidentiality be affected?
A - All information provided to Etech is handled with the strictest confidentiality code of conduct and to all HIPAA regulations.
Q - Will my claims be filed electronically?
A - All claims will be sent electronically whenever possible. If not, paper claims will be computer generated and submitted via
priority mail.
Q - What kind of follow-up do you do?
A - Upon receipt of the EOB we will follow up on any denied or rejected claims. In addition, if we have not received an EOB within
45-60 days, we will initiate a follow-up with the physician office and the insurance company. Any claims that require an
appeal will be sent on paper along with a letter of appeal and any required documentation. We work on each claim until it has
been paid or a reasonable response for nonpayment has been given. If an appeal needs to be filed, Etech will file the appeal.
Q - Will any patient charts be removed from our office?
A - Absolutely not. All we require from your office are the following:
- Patient Information Form
- Front and back copy of the patient’s insurance card(s)
- A signed copy of the Superbill/Encounter Form by the Physician which includes CPT and ICD-9 codes.
- If office notes are required by the insurance company in order to process the claim, we will contact your office and ask for a
copy of the office notes for payment purposes.
Q - How does Etech obtain the necessary information?
A - There are several options available, and Etech will work with your office to determine the most feasible method. The options
include:
- Internet based > Etech hosted and secured website with specific logon and password protected access by your office only. This
option requires a scanner, which Etech will install at no charge. Etech will also train the physician office staff on this process
at no additional charge. (Preferred and most efficient method)
- Fax > this can be generated weekly or daily
Q - What if my office is in a different city than yours?
A - With Etech’s methods, location is not an issue. We will visit your offices wherever you are located, so that you can get
completely comfortable with our services.
Q - Will I lose control of my insurance payments?
A - Payments will always be sent directly to your office for deposit. Your money will never be handled by us. Etech relies solely on
the respective EOB’s that your office will submit to us. We will post payments and perform the necessary follow up on claims
once your office sends us copies of the EOB’s.
Q - Will I need expensive software and hardware equipment in my office?
A - No. In fact, the only software or hardware you will need is a scanner, which Etech will provide at no charge. One of the great
things about outsourcing is you eliminate the need for all the expensive in-house mechanisms. We provide complete and
inexpensive information technology solutions.
Q - Do you provide any financial reports so I know how things are performing?
A - Yes. Etech will provide a number of standard financial reports and will generate any special reports that your office
may require on a case-by-case basis.
Q- If I don’t have a formal superbill, can Etech design a superbill for my office?
A- Yes. Etech will provide your practice with a customized superbill and all you need to do is Xerox them. Our preferred method
is to utilize an electronic superbill that will streamline uploading to your secure website, which Etech will completely supply and
train on. The superbill will contain the necessary CPT and ICD-9 codes, along with any other fields such as patient
insurance information, etc.
Q - What are your charges?
A - Our fees are based on production (actual deposits made) and are currently 6% of this amount. We typically charge a one time
set up fee of $750 to process the necessary business information at the electronic claims clearinghouse in our system, creating
your patient and insurance database… plus much more. We invest a tremendous amount of time and energy providing these
services to your practice - all of which take place before generating any claims. We will invoice you for services monthly and
the amount is due upon receipt of our invoice.
